Set and manage Jira issue reminders

Set a reminder on a Jira issue, choose who should receive it, and come back when the next step is due. The issue’s Due Date stays unchanged.

Get started

After your Jira administrator installs Follow-up Steward, open an issue you can access, choose Apps under the issue title and select Follow-up reminders. Jira then shows the Follow-up reminders panel on that issue. The app supports Jira Cloud and Jira Service Management Cloud in the desktop browser.

You and your recipients need active, licensed internal Jira or JSM accounts and access to the issue. JSM agents and licensed Jira collaborators can receive reminders where their permissions allow it. Portal-only customers, guests and anonymous users cannot receive reminders through this app.

Reminders to yourself also need the Follow-up Steward app to have access to the issue. In a team-managed space, an issue restriction can include you but exclude the app. The form tells you when it can detect this, and a reminder that cannot be sent shows that reason. The app never changes restrictions or grants itself access.

The app and project must be enabled. Your administrator can limit team reminders to project administrators. An active app license or trial is required to create, change, resume and send reminders.

Create your first reminder

  1. Select Add reminder in the Follow-up reminders issue panel.
  2. Choose Me, named colleagues, or Current assignee. Include yourself explicitly if you want a copy.
  3. Choose In one hour, Tomorrow 09:00, Next Monday 09:00, or a custom date. Check the displayed time zone. The date must be at least five minutes ahead.
  4. Leave Repeat unchecked for a one-time reminder, or select it to choose a recurring schedule.
  5. Add an optional plain-text note, up to 1,000 characters. For example: “Check whether the customer can sign in after the access change.”
  6. Review the recipients and exact date preview, then select Save. Repeating reminders show the next three dates, or fewer if the schedule ends sooner.

You can choose up to 20 recipient entries, including Current assignee. If the same person is both named and assigned to the issue, they receive one notification for that occurrence.

A reminder only to yourself is private. Adding colleagues or Current assignee makes it a team reminder. The form explains this change before you save. Creating or editing a reminder does not send an email; email is sent when it is due.

Choose a schedule

A recurring end date includes that entire local date. Each reminder keeps its own time zone; changing your Jira profile time zone does not move existing reminders. Changing the reminder’s time zone keeps its selected local time and shows the recalculated preview before you save.

When a clock change skips a chosen local time, the reminder uses the first valid time after the gap. If the local time happens twice when clocks go back, it runs at the first occurrence only. For example, 02:30 in New York on March 8, 2026 becomes 03:00. “Next Monday” means the following calendar Monday, even if today is Monday.

Reminders stop when Follow-up Steward observes the issue in Jira’s Done status category. Reopening the issue does not restart them. If a follow-up is needed again, open the reminder’s More actions menu (the three dots), select Resume and choose a future date.

Snooze only your reminder

Select Snooze for me and choose a date at least five minutes ahead. Your colleagues keep their own notifications and the shared schedule stays in place.

Snooze pauses your regular occurrences until the chosen time. At that time you get one personal return, then rejoin the original calendar. For a daily 09:00 reminder snoozed on Monday until Thursday 14:00, you skip Tuesday, Wednesday and Thursday morning, get one reminder Thursday afternoon, and return to 09:00 on Friday.

You have one personal snooze per reminder. Choosing a new time replaces the previous one. If Jira has already accepted the original email, snooze creates a future personal return; it cannot recall the earlier email.

Unrelated edits to the shared schedule or note keep your snooze time. Cancelling the reminder, reaching Done, losing access, removing you as a recipient, or setting an end date before your return cancels it. A return tied only to Current assignee also ends when someone else takes that role. A paused app or project, or an inactive license, blocks sending.

Stop receiving opts you out of this reminder. The owner cannot reset that choice by editing or removing and adding you again. Only you can select Resume receiving; it applies to future occurrences.

Find and manage your reminders

Open My reminders from Apps in the Jira sidebar. The page has two views. For me contains reminders addressed to you, including your current assignments. Managed by me contains reminders you currently own, including ones transferred to you. Filter by project, state and upcoming or historical activity.

A large For me list loads progressively. Wait for the search to finish before treating the list as complete. Refresh after recent assignment changes if needed.

Each reminder has a More actions menu (the three dots) with Edit, Cancel reminder, Delete and History; Resume and Transfer owner appear there when they apply. Owners can edit the shared date, recipients and note, or cancel the whole reminder. Recipients control their personal snooze and opt-out with the buttons on the reminder. Project administrators with issue access can manage team reminders and transfer ownership. Private reminders are not shown in administrator lists.

If the owner loses access or their account is deactivated, team reminders pause until an authorized project administrator transfers them and selects a future date. Private reminders stop. A transfer removes the reminder from the previous owner’s Managed by me list; authorship alone does not preserve access.

Delete removes the reminder and cancels pending personal returns; the app asks you to confirm first. If sending has already started, the app explains that those emails cannot be recalled. Deletion does not change the Jira issue.

Understand email and statuses

Follow-up Steward checks due reminders every five minutes. Jira handles email delivery, so this is not a five-minute inbox guarantee. The email contains your note, the scheduled time and a link that requires Jira access. Jira also adds the issue key and summary to the email.

Reminders for colleagues and Current assignee are sent through Jira as the reminder owner, after checking both the owner’s and the recipient’s current access. Reminders to yourself are sent by the app after the same checks, plus a check that the app can access the issue. If it cannot, your reminder is not sent and its status explains why. The app does not switch to another sender or retry with broader access.

UncertainJira may have accepted the email, but the app cannot confirm the result. It is not retried automatically.

A one-time reminder to Current assignee needs attention if the issue is unassigned when it is due. A repeating reminder skips that role for the occurrence and keeps its future schedule. Other eligible named recipients still receive theirs.

After a service interruption, the app catches up at most one recent regular occurrence per reminder within 24 hours. Older one-time reminders need a new date; repeats move to a future date. A personal return more than 24 hours late is marked missed, its snooze ends, and any regular schedule continues in the future. A missed one-time personal return needs a new date from that recipient.

For Uncertain, choosing to be reminded again creates a new reminder occurrence and may result in another email if the earlier one was accepted. Review the displayed warning first.
